 GENERAL SUMMARY:

Provides front-line administrative support at a student-focused extension location. Serves as the primary on-site administrative contact, ensuring smooth daily operations, assisting students and faculty, and aligning with main campus standards. Key responsibilities include fostering student success, supporting faculty needs, and managing office functions.

 PRINCIPLE DUTIES AND RESPONSIBILITIES:

  1. Office Administration: 40%
    • Greet visitors, students, and faculty in office or phone to provide information on programs, services, and procedures. Assist with admissions documents, applications, and tracking.
    • Manage daily office administrative functions with minimal supervision, but also work as a liaison with university and partner offices.
    • Provide support for the Regional Dean, faculty, and students related to student and administrative services. Schedule advising and financial assistant appointments, as needed.
    • Perform appropriate administrative tasks for instructional support, academic administrative support, and office management for administrators, partner, faculty, and students.
  1. Enrollment Support: 40%
    • Support student registration, plus assist with student enrollment and financial aid inquiries. Communicate, coordinate and perform responsibilities associated with academic calendar deadlines, including monitoring attendance and assisting with withdrawals/adjustments.
    • Provide general academic support and prepare students for advising, and assist with monitoring student progress.
    • Provide assistance with basic financial aid questions, connect students to appropriate offices or resources.
  2. Instructional Coordination: 15%
    • Coordinate classroom usage, student rosters, and faculty requests.
    • Manage textbook ordering and distribution to instructors.
    • Prepare instructor pay contract requests
  3. Perform other duties as assigned: 5%

 EDUCATION AND EXPERIENCE QUALIFICATIONS

  • Associate Degree, or equivalent required.
  • Prior experience in administrative or clerical support, higher education or a satellite campus environment preferred.
  • Understanding of university admissions and enrollment processes is strongly preferred.

 PHYSICAL REQUIREMENTS:

  • Extended periods of sitting. Routinely lift 25 pounds or less.

  OTHER SKILLS AND ABILITIES:

  •  Strong interpersonal and communication skills, especially with diverse student populations.
  • High attention to detail, with excellent time management and organizational abilities.
  • Proficiency in Microsoft Office and student information systems (e.g., OnBase, Banner, or similar platforms).
  • Ability to work independently and manage daily campus functions with limited on-site supervision.

 OTHER INFORMATION AND ATTRIBUTES:

  • Some evening work may be required.
